Store More Contract Info with Custom Contract Fields

To provide even more flexibility in managing and tracking contracts, we are adding Custom Contract Fields—a way to store various types of contract data needed for your workflow. Here’s what they help you with:

  • Save additional information in Text, Date, or Drop-down list format.
  • View this information from the Contract Management page (Contract Management for precoro.us) or from any specific contract.
  • Navigate the contract list efficiently using filters by custom fields.
  • Create comprehensive and informative reports about contracts.

How to Create Custom Contract Fields

  1. Ensure you have the Create role for Supplier Management to access the needed module.
  2. Navigate to Supplier Management → Custom Supplier Fields tab and press Add field in the top right corner.

  3. In the Available to select in section, check Contracts or Select all. If the field is only available in contracts, it can’t be used in Supplier Approval Workflow and will only be displayed in the list of contracts.
  4. Set the necessary type and basic settings.
  5. If you selected Date or Text type, press Save to create the field. If you selected the Drop-down list type, press Next Step, add the options, and then press Update to save the list.

How to Use Custom Contract Fields

When creating or editing a contract, you'll find the custom fields below the Extendable Contract and Active toggles. You can fill out and view the values on this page. If you set up custom fields with the Drop-down list type, you can select multiple options.

If a custom field has the Display in the lists setting enabled, it will appear in the Other Details column on the Contract Management page.

To filter documents on the Contract Management page using a custom field, check the Show in Filters box when creating or editing the field. On the Contract Management page, click Filters, find the custom field, set the necessary value, and press Filter results.

When creating custom reports with the Contract document type, you will find custom contract fields in the General Data tab.

Receive Better Reminders About Expiring and Extending Contracts

When a contract is nearing its expiration date, Precoro can send you an email notification to simplify and automate contract monitoring.

With this update, we add two improvements to make these emails even more convenient and reliable:

  1. Contract number in the email subject: You can now understand which contract needs your attention without even opening the email—the subject line tells you exactly which contract is approaching its end date. 
  2. Contract extension emails: The reminders are now sent even if the contract has the Extendable Contract toggle enabled. When receiving an email, you can tell if the contract will expire or be extended at a glance and decide if you need to take action.

These emails also contain a link to the contract, ensuring you can quickly open it to find additional information.

Optimized Server Operation Using New API Limits

To control the load on Precoro servers and ensure they are working smoothly, we are adding a new limit that allows you to send 60 requests per minute (1 request per second).

The previous limits are still in place:

  • 1500 requests per hour; 
  • 3000 requests per day.

We are also establishing new limits for duplicate requests—identical requests happening in succession:

  • 1 request per minute; 
  • 30 requests per hour.

NetSuite Integration Improvements

Export Custom Transaction Line Fields from NetSuite

You can now sync Transaction Line Fields from NetSuite using Precoro SuiteApp v1.6.4. When integrated, they will appear in Precoro as Custom Fields for Items available in purchase orders and invoices.

Here’s how to export these fields:

  1. Access Precoro SuiteApp (Precoro → Configuration → Integrations) from the NetSuite navigation menu.

  2. Find Custom Line Fields in the list on the Export Lists tab and press Export.

  3. You will see the list of body fields available for your integration. 
    To export fields with Free-Form Text and Date types, select them from this list (check the boxes in the Action column) and press Export.
    To export a field with List/Record type, press Continue in the Action column. On the next page, select the records you want to integrate, then press Export.
  4. You will be redirected to the Precoro SuiteApp Dashboard, and a message about export results will appear. Once the fields are successfully exported, they will be shown in Precoro as Custom Fields for Items.

Integrate List/Record Transaction Fields

Transaction Body and Line Field integration now includes fields with List/Record types. 

If you navigate to the Export Lists tab in Precoro SuiteApp, select Custom Body Fields or Custom Line Fields, and press Export, you will see all fields available for integration, including lists.

Press Continue opposite the field you want to integrate, select the necessary records, and click Export.

Custom Body Fields will be added to Precoro as Custom Document Fields, and Custom Line Fields will be added as Custom Item Fields.

Please note: To export a list, please ensure the Precoro Integration Role has access to it and the records are accessible to the subsidiary.
