How to Track an Approval Workflow in Custom Reports

Learn how to track an approval workflow in custom reports.

Custom Reports allow you to generate, analyze, and export any company’s data set based on the document type used in Precoro. There are six documents in which you can track an Approval Workflow:

How to Create a Report to Get Approval Information

  1. Activate the modules and make sure users have the correct roles. The information on how to do that can be found here.
  2. Make sure your Approval Workflow is in place. Find more information on how to create one here
  3. Create a Custom Report with the Approval information in it.
    • Open Reports in the left-side menu and click on the Create a Custom Report button.
    • Enter the report name.
    • From the drop-down list, choose the Document type.
    • Choose the necessary columns you wish to add, including the ones containing information on the Approval.
    • Select the Report Access Type (Shared or Private).
    • Click Save and create.

4. Filter the report and, if necessary, export or share it as explained here.


You can also apply the Pending Approval Step filter, which will show the documents that need approval according to the step you have chosen in a filter. To use this filter, you need to create and then embed an Approval Workflow in your company.

Approval Data Available in Custom Reports

You can track approval workflow data in custom reports for the following document types:

  • Warehouse Request
  • Purchase Requisition
  • Purchase Order
  • Invoice
  • Receipt
  • Expense
  • Payment

Available fields

For all document types listed above, the following fields are available from General Data:

  • Approval Step #1, User — the name and email of the approver who completed this step
  • Approval Step #1, Date — the date and time when this approval step was completed
  • Pending Approval Step — the name of the approval step currently awaiting action
  • Pending Approval From — information on who should take action
  • Approval Date — the date when all approval steps were completed and the document received the status Approved.

Purchase Order only: one additional field is available from Items Data:

  • Request for Proposals, Approval Date — specifies the time and date when the document was approved.
