Documents Available in Precoro Mobile

Currently, you can create these types of documents in the Precoro mobile app:

  • warehouse requests;
  • purchase requisitions;
  • purchase orders;
  • receipts;
  • invoices;
  • expenses.

You can view, approve/reject, and cancel all types of documents accessible via the app.

Please read here for the full list of available modules and actions.

How to Create Documents

The steps below use a purchase order as an example.

Warehouse requests, purchase requisitions, and standalone invoices have a similar standard creation process.

✍️ Note: Purchase requisitions follow a different order: add items first, then fill out the document fields, the reverse of Steps 2 and 3 below.

Receipts, invoices created from a purchase orders, and expenses have their own steps covered in the next sections of this article.

Step 1: Select the Document Type

On the Documents page, select the document type you want to create; you will be redirected to the corresponding module. Click the + icon to add a new document. If you have custom forms, select one to proceed.

For purchase requisitions, receipts, and expenses, you can also choose to create the document using AI scanning instead of filling out the form manually. See the AI Scanning section below.

If you still prefer the manual way, press Skip.

Step 2: Fill Out the Details

Fill out the required standard and custom fields, then click Next Step. You can also add a note for the supplier while completing this section.

On the items tab, you can:

  • Add new items or select items from the Catalog;
  • Delete and edit the added items;
  • Click on the item card to view all details;

Step 5: Confirm and Send the Document

Once everything looks good, press the Confirm button at the bottom of the screen.

If your company uses the Approval Workflow feature, the PO status will change to Pending.

Once approved, you can send the PO to the supplier from the mobile app: tap the More Actions icon, then select Send to Supplier.

If your company has automatic PO sending enabled, you don't need to send it manually, though Resend to Supplier stays available if you need to send the order again.

Supplier Status shows the delivery status of the emails sent to your supplier:

  • Not sent, sent, opened, confirmed, or failed
  • Sent to a marketplace for PunchOut orders

Tap Show more to see the status for each recipient.

AI Document Scanning in Mobile App

Instead of filling out a document by hand, use your phone to take a photo or upload a file. Precoro extracts the data, fills out the form, and gets a draft ready for you to review.

✍️ Note: This feature is included with Automation or Enterprise plans. If you’re using the Core plan, consider upgrading or contact our Customer Success team for more information.

For a general overview of Precoro's AI scanning, see Using AI Document Scanning.

Scan a Purchase Requisition

  1. Tap the plus icon to add a purchase requisition, and select a form if your company uses custom ones.
  2. Choose your method: Take a photo, Add from Gallery, or Upload attachment.
  3. Precoro scans the file and fills in the items automatically.

    pr-scan
  4. Tap Next to see the document fields, pre-filled from your photo.
  5. Fill in the rest, like custom fields or any other required fields. Use the attachment panel at the bottom of the screen to check the original file if needed.
  6. Tap Create.

Scan a Receipt

  1. Open the Receipts module.
  2. Tap the plus icon to add a receipt.

Create Documents from PunchOut Catalogs

You can create purchase requisitions and purchase orders from PunchOut catalogs in the mobile app if a PunchOut catalog is configured for that document type.

To create a document from a PunchOut catalog:

  1. Open the module where PunchOut is configured: Purchase Requisitions or Purchase Orders.
  2. Сlick the + icon.
  3. Select Request from [ Marketplace Name ].
  4. Fill in the required document fields.
  5. Click Create.

After that, Precoro redirects you to the supplier catalog in your device browser.

While you shop, the document is saved as a Draft in Precoro.

After checkout, you return to the app automatically, with all items added to your draft—including name, quantity, price, unit, and SKU.

You can then edit the fields you are allowed to change, add notes or attachments, and send the document for approval.

✍️ Note: The supplier is set automatically and can't be changed. PunchOut catalogs are configured in the web version (Configuration → Marketplace Configuration), and the PunchOut option appears only for document types that have a catalog set up.

  1. Open Invoices, tap +.
  2. Click Add from PO.
