More Flexibility in Contract Notifications

You can now select users with the Supplier View Only role in the Send notification to field when creating or editing a contract.

To make sure no one misses important updates:

  • If a user’s Supplier View Only role is removed, you’ll be notified to choose a delegate with the same role.

  • If a user with the Supplier View Only is deactivated, you’ll be notified to pick a substitute.

The new delegate or substitute will be assigned to the contract, and the previous user will be removed from the notification list.

Identify Inactive Locations in User Reports

To give you better visibility into user access, the User Report by Current Company and User Report by Account now separate active and inactive locations into two distinct columns.

The Available Locations column will list only active locations a user can access. A new column, Inactive Available Locations, shows inactive locations assigned to the user.

This change makes it easier to see which locations are currently active and which are disabled but still linked to users.

Easier Reporting and Tax Management for Companies with Multiple Legal Entities

💡Please note: to enable the features described below, the Set Up Access by Legal Entity setting should be activated in Account Configurations. Please contact your Customer Success Manager to activate it.

Set Up Dependencies between Legal Entity and Taxes

You can now establish dependencies between legal entities and taxes. Creating these dependencies will help manage taxes in companies that operate in multiple countries with different sets of tax rates.

To use this functionality:

  • Create the dependencies for every tax limited to certain legal entities. When a legal entity is selected in a document, only the taxes assigned to it can be added.
  • If there is a tax without dependencies, it can be added to documents regardless of the legal entity.

On the Taxes page, you can filter taxes by legal entities.

Generate Reports Across Legal Entities in One Go

Managing multiple companies under one account is now much simpler. Instead of generating separate reports for each company and manually merging them, you can filter reports by Legal Entity—all within a single workspace.

Here’s how it will work if you are using the “Set Up Access by Legal Entity” feature:

  • Users will only see data for the Legal Entities they are allowed to access.
  • Reports will include a filter for Legal Entity and show a Legal Entity column to clearly separate data.
  • Related information, like suppliers, budgets, and locations, will be linked to Legal Entities to keep data accurate.

The Legal Entity column will stay visible in reports even if you turn off the setting later, so your reports remain consistent. If the setting is off, reports work as they did before, without any Legal Entity filters.

Send Credit Notes to Xero

In this update, we added the ability to send credit notes to Xero. Here’s how to use this functionality.

  1. Navigate to Configuration → Integrations and click Update Settings under Xero. Ensure you have the Approved Invoices option selected in the Documents to Send field.
  2. Check the Send Credit Notes option and press Save.

When this setting is activated, the Credit Note documents will be automatically sent to Xero when they reach an Approved, Paid, or Partly paid status.

When viewing a document, you will see integration logs stating if the credit note was created in Xero. If not, the logs will explain the reason, and the document will have the Not sent to Xero status. Once you resolve the issue, you can manually send the document using the Send to Xero button in the action panel.

See Exact Item Prices When Exporting Reports

We’ve removed rounding from all Price columns in reports to match what’s shown in your documents. Now, files display the full item price with all decimal places, regardless of your company’s precision settings.  

Get Complete Clarity on Your OCR Usage

With this update, you can now track deleted files that were processed with OCR. A new Deleted documents line has been added to the tooltip on the AP Inbox page, showing how many processed files were removed.

Deleted documents count toward both your monthly usage and total balance, so now you’ll have a clearer view of how your OCR quota is being used.
