Ability to Enable the Mandatory Approval Review If the Workflow Steps Were Omitted
We are improving the Approval Workflow functionality and providing more options to customize and create your preferred workflow. In the Configuration → Basic Settings → Approval, we added a new Enable Approval Review If the Usual Workflow Was Not Applied option that allows you to require approval review from users with Configuration roles if the usual Approval Workflow was not applied. That way, all your documents will always be checked and approved.
When the option is activated, you will see the available conditions to set: Any, Less or equal, From, From To. You can enter the parameters needed for the documents to be sent for approval review there. For example, if the documents under $100 can be approved automatically, you can set the condition From $100.
The process of approval in that case will look as follows:
1. The document that has not undergone the usual approval flow receives a new Approval Review status and will get to an Approval Review step, where all the administrators and users with required rights will be listed for the review.
2. In the Email Preferences we will automatically activate the Notification about Approval Review. A letter will be sent to those users with the needed roles and DCF/Locations rights, notifying them of the documents requiring a checkup and informing them of possible next steps.
Documents with Approval Review status will also be displayed in the Approval Review infocard (available for company Configurators), allowing you to quickly filter and process them.
Reasons for omitting the approval process could have been the following:
- The document’s approval workflow does not cover the selected Document Custom Field options, Location, Requester, or Threshold.
- There are Document Custom Fields that restrict the Approver’s access to documents and are not added to the approval workflow.
3. The reviewers must analyze why the initial approval was skipped, make all the necessary changes to the document's Approval Workflow, revise the document, send it for revision to the Initiator, or submit it for further approval.
Better Preview Mode for Attachments in All the Documents
We have implemented several improvements to the document preview module for attachments in all the Precoro documents, which we hope will make your work with it more convenient. The updates include the following:
- The ability to resize the split-screen according to your needs.
- Maintaining the original document quality after the upload.
- The possibility to select and copy the necessary information directly from the file.
- More user-friendly interface with intuitive action icons and tips.
- Better navigation between the documents and the ability to navigate by manual page entry.
Added a New Way to Manage the Item Editing in Purchase Requisitions
We have created a way to manage the naming errors and mix-ups with items when users are submitting PR requests by adding a new Restrict SKU and Name Editing for Catalog Items function in the Configuration → Basic Settings → Documents Setup → Purchase Requisitions:
By default, the function is turned off. When activated:
- All users who create PRs will not be able to edit the SKU and Name fields for catalog-added items regardless of the PR status.
- The same edit restriction applies to the Update Items via Excel feature.
Updated the Working Process After the Supplier Portal Deactivation
In case you have deactivated the Supplier Portal functionality, the workflow will be as follows:
1. The Supplier Portal toggle will no longer be displayed in the supplier’s profile on the Management page.
2. In the Purchase Orders, you will see the available option to Create an Invoice from your side as well as the option to Create from PO on the Invoice management page.
That is, you can create Invoices following the usual process: How to Create and Track an Invoice.
3. If the PO was fully invoiced, that document will no longer be displayed in the Supplier Portal, regardless of the Invoice status. Thus, your supplier will not be able to create an Invoice for that PO.
4. If the PO has not been fully invoiced yet, the supplier can still create an Invoice for it, but only for the remaining item quantity.
Better Contract Management with Added Substitute Option
You can manage your contracts even better as we have added the ability to assign a substitute user for the “Send notification to” field in Precoro Contracts.
The assignment will be automatic when the user:
- Gets deactivated from the company and requires a substitute.
- Activates the Vacation Mode and selects a substitute.
Admin Notification Regarding User Editing Who Are Part of the Approval
Every time the company administrator tries to change the user rights and roles, we will let them know if the updated user is part of the Approval Workflow, and editing the user’s access may affect their authorization as an Approver. We will prompt the administrators to review the current approval workflow settings to make sure the Approver’s accesses were not affected by the changes.
OCR Improvements
We have prepared the following updates for you in regards to the OCR functionality:
Improved the Default Invoice Creator Functionality
We have added new possibilities when selecting the Default Invoice Creator for OCR, and now:
- You can select users who do not have an OCR role as the Default Invoice Creators.
- In case the Purchase Order Purchaser is deactivated in the company or does not have access to the required Location, we will automatically assign the Invoice Issuer to be the Issuer of the Auto Created Invoices.
New Design For Invoice From OCR
We have been gradually improving the design and outlay of the document creation pages with OCR, and today, we are thrilled to announce the enhancement of the Invoice creation page.
