New Shipping Item Type


Adding logistics costs to documents becomes simpler as we are happy to present the new Shipping item type!

Functionality highlights:

  • Taxes cannot be calculated for the Shipping items yet, and taxes added at the document level also do not apply to these lines. Thus, the “Tax,%” and “Tax Sum” columns are always empty.
  • Shipping items do not need to be received, so they will be excluded from the list of items to be added to the Receipt. 
  • When adding Shipping to an Invoice from PO, the matching will not be triggered. 

Ways to Create New Shipping Items

1. From the Item Management page.

Click the Add Item button and enter the needed information. Select the Shipping option in the Item Type column and save the created record. This item can be added to documents through the Catalog for future use (available for Invoices, POs, PRs, RFPs, and Service Orders).

Shipping items can be free of charge or also have a negative price.

2. Directly from the document page.

Click the Add Shipping button in the created document (available for Invoices, Purchase Orders, and their custom forms). This will allow you to create a new Shipping type item from scratch.

You can add an unlimited number of Shipping items to the document, as well as, you can create a document with only these items.

In the document, the Shipping Item Type will always be displayed with the corresponding shipping icon.

Suppliers and Items View Only Role


We have optimized the structure of the Suppliers and Items role and added the ability to activate it in View Only mode as well as in Approve and Create in User Management:

Users with activated Suppliers and Items View Only role will be able to:

  • View the lists of all Suppliers, sent invitations to the Supplier Portal, and sent Questionnaires.
  • See all the fields and the attached files in the Supplier Profile.
  • Use the Revision History function.
  • View the Items list on the management page.
  • Use the Revision History function and view Similar Items.
  • View without the ability to edit the lists of Category Management, Unit Management, Item Bundles, Payment Terms, and Contract Management.
  • See the list of Supplier Custom Fields.
  • See the following infocards:
    • Not Mapped on the Supplier Management page.
    • All of the cards on the Invite Supplier to Register page.
    • Item Duplicated and Not Maped on the Item Management page.
  • In case the User has the Reports role then with having any of the Suppliers and Items roles they will be able to see the following reports:
    • Contract Revision History Report
    • Supplier Revision History Report
    • Catalog Revision History Report
    • Custom Contract Report.

If an employee has the Super User role, they can still view the Suppliers and Items module even if all roles for it are disabled. They will have limited access to the functionality and will be able to perform some actions, please see the full list of permissions.

Auto-Approve Subsequent Recurring Documents


The Recurring document approval process becomes easier and faster with the new settings in ConfigurationsApprovalAuto-Approve Subsequent Recurring Documents.

When activated, you will need to set a Condition — which document’s Total amount will trigger the automatic approval. Conditions include Any, Less or equal, From, and From to options.

After the setup, both the Purchase Order and Invoice subsequent recurring documents will acquire Approved status if the original was approved.

In the recurring approved subsequent documents, you will still be able to view all the original approval steps (they will be successfully completed), and you will see the tip that this “Document was automatically approved as it is Recurring.”

Important to note about the Approval process:

  • If you add a new step to the currently existing workflow, the document will pass the full re-approval process.
  • The new approval workflow will be copied to all subsequent documents.
  • In case you take the recurring document for revision and input changes that affect the re-approval (for example, Total, Location, Custom Fields involved in the re-approval, or Budget), the document will undergo the re-approval. However, after approving that one, all the subsequent documents will not need to be re-approved. Unless the action was performed by a Super User in which case the re-approval triggering will be decided by that person.

Payments Page Update


We are thrilled to present a renewed version of the Payments page. The improvements include the following:

  • An enhanced table view.
  • Ability to sort the columns.
  • View highlighted status in the joined Payment Type/Status column.

OCR Updates

Auto-Identifying Shipping Item Types


When documents are recognized by OCR Shipping items will be identified by keywords and added to the document immediately with the “Shipping” type. Keywords may include
Shipping, Shipping & Handling, Shipping Charges, Delivery, Delivery fee, Truck charges, Freight amount, and Freight fee.

How the process works 

1. You upload the document for recognition.

2. An OCR provider recognized the item line as Shipping.

3. Precoro checks whether such an item already exists in the catalog, and if it does, it is mapped. If not, the item is assigned the Shipping type at the document level.

Key points of the Shipping item type:

  • Those items do not need to be received.
  • Their addition to the document does not trigger Matching.
  • The Tax is not calculated for these items.
