How to Sync Custom Segments with NetSuite SuiteApp

Learn how to set up the NetSuite custom segments integration with Precoro to customize documents and reports based on your business needs.

Supported Custom Segment Types

Precoro supports the integration of NetSuite custom segments of the Lists/Records types.

The Multiple Select custom segments type can also be imported as a standard custom field for items or documents with single-select functionality in Precoro.

Necessary Settings Adjustments

To successfully export and use custom segments in Precoro, you first need to adjust access permissions in NetSuite.

Step 1: Add Access to Specific Custom Segments

Follow these steps:

  1. In NetSuite, navigate to Setup → User/Roles → Manage Roles.
  2. Locate the Precoro Integration Role → click Edit.
  3. On the role editing page, go to Permissions → Custom Record tab.
  4. In the Record column, select the required custom segment from the drop-down list.
  5. In the Level column, set the access level to Full.
  6. Click Add Save to record the changes.

Step 2: Update Default Record Access Level

Once the access is configured, here’s how you can update the default access level:

  1. In NetSuite, go to Customization → Lists, Records, & Fields → Custom Segments.
  2. On the Custom Segments page, click Edit next to the needed record. 
  3. On the editing page, locate the Permissions section.
  4. Expand the drop-down under the Default Record Access Level → choose the Edit option.
  5. Click Save to record the changes.

How to Export Custom Segments from NetSuite

Once you’ve made all the necessary adjustments, you can proceed with the custom segments export:

  1. In NetSuite, navigate to Precoro → Configuration → Integrations. 
  2. In the Export Lists tab, click Export next to Custom Segments.
  3. On the next page, click Continue next to the required custom segment. If access to a specific custom segment has not been granted to the Precoro Integration Role, you will receive an error.
  4. In the Export as section, choose how you want the custom segments to be exported to Precoro: as Document Custom Fields, Item Custom Fields, or both.
  5. In the Custom Segments section, select the values to export, or click Mark All to select all on the current page. If you switch pages, selections will be reset, so each page must be exported separately.
  6. Click Export to complete the process. It may take up to 15 seconds for the selected custom segments to appear in Precoro. For large numbers of values, the integration will occur in batches, and the data will appear in Precoro gradually.
  7. Repeat for each page, if necessary.

How to Add the Imported Custom Segments into Documents

Once the custom segments are imported from NetSuite, the corresponding Custom Fields for Items or Custom Fields for Documents will be automatically created in Precoro.

To use these fields in specific documents, you need to configure their availability:

  1. In Precoro, go to Configuration → open the Custom Fields for Items or Custom Fields for Documents page.
  2. Open the NetSuite Custom Segment directory.
  3. In the Basic Settings section, select the necessary options.
  4. In the Available to Select In section, check the documents where you want the field to appear. 
  5. Click Update to save the changes. The selected fields will now be available in the corresponding Precoro documents.
