# How to Create a Consolidated P2P Report (Beta)

## Learn how to create one exportable report that tracks each item across the entire procure-to-pay process, from purchase requisition to payment.

### Why Use the Consolidated P2P Report

P2P Consolidated Report consolidates item data from every stage of your procure-to-pay (P2P) process into a single file. See the progress of every item from requisition to payment without having to build and join separate reports.

The report collects data from five document types:

- Purchase requisitions
- Purchase orders
- Receipts
- Invoices
- Credit notes

With the consolidated P2P report, you can:

- Track purchases from request to payment.
- Spot stalled or incomplete processes.
- Compare ordered, received, invoiced, and paid amounts.
- Simplify month-end and quarter-end reviews.
- Analyze P2P data across key business dimensions.

### How the Consolidated P2P Report Is Structured

**One row per item**

- The P2P Consolidated Report is an item-level report in which each row represents one item.
- All related records for that item across the P2P process are shown in the same row:

Purchase Requisition → Purchase Order → Receipt → Invoice → Credit Note

- If one item is linked to multiple purchase orders, receipts, invoices, or credit notes, the corresponding values and amounts are aggregated in a single row.

**Grouping and sorting rows**

- Items from the same end-to-end purchase (P2P chain) appear next to each other in the report.
- Precoro sorts P2P chains by **P2P Last Activity Date**, the date of the most recent update across all documents in the chain, from the newest to the oldest.
- Within each P2P chain, items keep their original order, based on how they were added to the documents.

### Report Access and Visible Data

Only users with the **Reports** role can access the Reports module. See[How to Provide Access to the Reports Module](https://help.precoro.com/how-to-create-a-custom-report#access) to learn how to assign roles.

With the **Reports** role, you see the P2P Consolidated Report option when creating a custom report if you have access to at least one of the supported document modules.

Both the report building page and the exported data are limited to the modules you have access to.

For example, if you have access to **Purchase Orders** and **Receipts** but not to **Invoices**, invoice columns and invoice data don't appear in your report.

**✍️ Note:** When you open a P2P Consolidated Report with the Shared access type in Precoro, your export excludes fields from modules you can't access, even if the report owner added them.

### How to Create a P2P Consolidated Report

#### Step 1: Select the Report Type and Columns

Once you have the roles needed, set up the report:

1. Open **Reports** in the left-side menu and click **Create a Custom Report**.
2. Give a name to your future report.
3. Select the **Consolidated** report type.
4. Set the **Report Access Type**: **Shared** or **Private**. See[How to Set the Report Access Type](https://help.precoro.com/how-to-create-a-custom-report#Set-Report-Access-Type) for how each option works.
5. Choose the fields you need and add them to the report.
6. Arrange the fields in the order that works best for your process.
7. Click **Save & Create**.

The field list includes two fields specific to the P2P Consolidated Report.

- **P2P Last Activity Date**. The latest date across all documents in the P2P chain. For example, if the latest document in a chain is an invoice dated 15.07.2026, every row in that chain shows 15.07.2026.
- **P2P Starting Document.** The document type the P2P chain started with: Purchase Requisition, Purchase Order, Invoice, or Credit Note. Every row in the chain shows the same value.

#### Step 2: Set the Filters

The report filters by one document type at a time.

1. Select the document type you want to filter by. Precoro shows the filters available for that document type.
2. Fill in the primary filters. These are required to generate the report.
3. Add optional detail filters if needed, such as document and item custom fields, locations, or payment details, depending on the selected document type.
   
   An item appears in the report if at least one document of the selected type in its P2P chain matches all the filters you set.

#### Step 3: Export the Report

The P2P Consolidated Report is generated only as an export file. Once your columns and filters are set, click one of these options:

- **Export** to download the report as an XLSX file.
- **Export to Google Sheets** if your Google account is connected to Precoro.
- **Send to Email** to share the report with your colleagues or send it to your own inbox.

**✍️ Note:** The Consolidated P2P Report skips the on-screen preview and **Run Report** step used by other custom reports.

It collects data from five document types at once, so exporting the full file gives you complete results faster than loading a preview.
